Leveraging Your Management System for External Audit Success

One of my consultant clients recently raised this in our coaching call.

I won this job with an ISO certified civil construction company (hooray! Congratulations!) and they have their recertification audit in 4 weeks! What should I be focusing on in this short time to ensure they are prepared for their recertification audit?

My first thought? Well, they should ALWAYS be prepared! Your ISO management system isn’t something that you ‘just get ready’ before an audit – sort of defeats the purpose, doesn’t it?

 

However, this situation is more common than you think. And my client, the consultant is the one that has been brought in (at the last moment) to save the day!

This is not the time to rewrite the entire ISO management system. Key focus is essential here given the short time frame. So what should the consultant focus on in this 4 weeks? In short, my advice was to focus on:

  1. Previous external audit results
  2. Previous internal audit results
  3. Management review outcomes
  4. Nonconformance and Incident registers

Certification Preparation Funnel

The Recertification Preparedness Funnel is a visual tool for harnessing your existing management system resources to prepare for a certification audit. By systematically leveraging the elements already present within your system, this model emphasizes a structured approach to utilize past performances, corrective actions, and continual improvement efforts. Each component within the funnel is integral to your management system, ensuring that all data points and feedback mechanisms are effectively used to optimize your audit preparedness

Previous External Audit Results: Utilizing past external audit results allows you to pinpoint areas where the system either excelled or required enhancement. Reviewing these findings helps in understanding external perceptions of conformance, compliance and operational effectiveness. This review should focus on recurring issues or previously highlighted risks, ensuring that corrective actions are not only implemented but are effective.

Previous Internal Audit Results: Internal audits offer a more frequent and detailed insight into the operational aspects of the system. By comparing the latest internal audit results with previous cycles, you can track the progress of internal controls and verify the closure of identified gaps. Highlight any adjustments or strategic decisions made as a result of these reviews to showcase proactive governance.

Nonconformance Register: The nonconformance register is a critical tool for tracking any departures from standard operations or expectations. Analyzing this register helps identify patterns or areas of frequent nonconformance, guiding the focus towards systemic changes or targeted improvements. It’s important to document the steps taken to rectify each nonconformance, demonstrating a clear path from problem identification to resolution.

Incident Register: Similar to the nonconformance register, the incident register provides insights into unplanned events or conditions that could impact the system’s performance or compliance. Reviewing this register allows for a retrospective analysis of incidents, understanding their root causes, and implementing preventive measures. This register is essential for risk management and preventing future occurrences.

 

By effectively using these tools, you not only prepare for the upcoming external audit but this also embeds a culture of continual improvement and transparency within the organization. This approach not only aligns with the principles of ISO standards but also enhances the resilience and reliability of the management system.
